Guidelines

Please read this page carefully before filling in any form for the Symposium.

The ASI SCAI-26 is a symposium for astronomy communicators in India to present their work, share experiences, form networks, and learn from each other. This is a Symposium of the Astronomical Society of India, and will be hosted by IUCAA, Pune. It is supported financially by the ASI, IUCAA, IIA, and ARIES, with a free-of-charge field trip to GMRT organised by NCRA-TIFR.  

HOW TO APPLY

  • Step 1: Create a log in on IIA's Indico page (see here)
  • Step 2: Register to attend the ASI SCAI-26. You can apply for funding support using the same form if you would like to do so (see here)
  • Step 3: If you want to apply for a talk/poster, fill in the Abstract Submission Form (see here)

GENERAL GUIDELINES

  • Everyone who wishes to attend the Symposium will need to register through this website via the Registration Form
     
  • There is a registration fee of Rs 1000 per person for all in-person attendees, whether you are giving a talk or a poster or just attending the Symposium.
     
  • We invite abstracts (that is, a short summary, max 200 words) of your proposed talks or posters (through the Call for Abstracts), a subset of which will be selected by the organisers for actual presentations.
     
  • All presenters of talks and posters will have to attend in person. All presentations will be in English. If you would like to talk in another language, you will need to arrange for a live translator and share the total talk time with them. 
     
  • Most of the talks will be live-streamed publicly on ASI's YouTube channel but Q&A for each talk will be restricted primarily to in-person attendees.
     
  • A certain number of rooms (on shared basis) are available free of charge at IUCAA. We are exploring availability of additional rooms at a charge in nearby institutions as well. 
     
  • We are aware that a large number of potential participants of ASI SCAI-26 may lack institutional support and will self-finance their attendance. Hence, certain amount of funds are available for subsidising travel (non-AC sleeper train fare, or actual fare, whichever is less), for accommodation expense outside IUCAA, and registration fee waiver. This will be decided by the Organisers based on the inputs in your registration (and abstract forms). The Organisers will also decide on the allotment of the free-of-charge rooms at IUCAA. Preference will be given to those who are presenting a talk or a poster, though this is not exclusive. 
     
  • Details on how to pay your registration fees will be sent to registered participants at a later date. Note that your attendance of the Symposium is fully confirmed only after payment of registration fees. 
     
  • Details on registration fee reimbursement, travel and accommodation subsidies, etc will be sent to registered participants at a later date, consistent with the list of Important Dates. DO NOT purchase your tickets or book hotels till you hear from us about it.
     
  • The selected oral talks will have a duration of 15 minutes (including Q&A), while a small number of these will be allotted 25 minutes.
     
  • If you have been selected for a poster, you will need to bring a printed (A0 portrait format) copy with you for display. You will also get a short period of time to summarise it on stage.
     
  • We will be providing some space for exhibiting your demos, models, etc, and will also be providing some time for networking and demonstrations. Details of these will follow later.

FAQ

How can I apply to attend the Symposium in person? 

Please fill in the Registration Form FIRST (see here on how to do so).

How can apply to present a talk or a poster?

Please fill in the Call for Abstracts form, but ONLY AFTER you have completed your registration process fully (see here on how to do so). Abstract submissions without registration will not be processed.

How can I apply for funding subsidies?

You will be filling in the details in the registration form (and also mentioning it in the abstract submission form). The organisers will make a final decision.

Can I attend the Symposium without presenting a talk or poster?

Yes you can. You can fill in the Registration Form and not fill in the Call for Abstracts  Form.

Can I present a talk or poster online without attending the Symposium?

No, you cannot do so. 

If I have asked for funding support, is it guaranteed that I will get it?

No, we have limited funding for subsidies, and the final decision will be made by the organising committee, based on the inputs in your registration and abstracts forms.

If I have applied to present a talk or a poster, is it guaranteed that I will get a slot?

No, the SOC will make the final selections based on the number of submissions.

How do I pay my registration fees?

We will send detailed information to registered participants later on.

If I decide to cancel my attendance after I have paid my registration fees, will I get it back?

There will be a last date to do so, which will be intimated to you later.
